Setting up Actions, Milestones, and Statuses
Linking Milestones and Statuses
Each time you add a history note to a contact, you will apply an Action, Milestone, and Status.
Action - Used to document the form of communication for this update. Common examples include Call, Email, Meeting, and Lead Update.
Milestone - Used to determine the current step in the sales process. The Milestone will be "No Milestone" until the first step is reached. Common examples and definitions:
- Contacted - You have reached the lead, but have not quoted them yet. Often combined with a Hot, Follow Up, or Requote Status based on the results of your conversation.
- Quoted - You have quoted the lead, but have not closed the sale yet. Often combined with a Hot, Follow Up, or Requote Status based on their interest level in the quote.
- Sold - You have completed the sale. Often combined with a Follow Up Status.
- Not Interested - The lead is not interested, and did not request a future follow up. Generally combined with a Not Interested Status.
Status - Used to determine the status or interest level of the contact. Common examples and definitions:
- New - You have not attempted to reach the lead.
- Attempted Contact - You have attempted to reach the lead, but have not contacted them yet.
- Bad Phone Number - The phone number does not exist, or was the wrong number.
- Do Not Call Number - The lead is on a Do Not Call list, or asked to not be called.
- Hot - The lead is very interested, is in your sales pipeline, and is a high priority. Hot leads should always have a future follow up scheduled.
- Follow Up - The lead is interested, but is a lower priority. Leads with a Follow Up status should always have a future follow up scheduled.
- Requote - The lead is not interested right now, but requested to be requoted in the future (i.e. they are waiting for a ticket to fall off).
- Not Interested - The lead is not interested, and did not request a future follow up.

Insurance Milestone Examples
- Contacted - Lead has been reached, either via phone or email
- Quoted - Lead has received a personal quote
- Sold - Lead has purchased coverage
- Not Interested - Lead was not interested in coverage
- Cancelled Policy - Customer that has terminated coverage
Insurance Status Examples
- New - No attempted contacts to the lead
- Attempted Contact - The lead has tried to be reached, either phone or email.
- Hot - The lead has shown interest
- Follow Up - The lead is interested, but is a lower priority. Leads with a Follow Up status should always have a future follow up scheduled.
- Requote - Lead is interested in a future quote
- Customer - Lead currently holds a policy with you
- Cross-Sell Auto - Has an auto policy, expand coverage
- Cross-Sell Home - Has a home policy, expand coverage
- Bad Phone Number - Phone did not connect/ disconnected phone number
- Do Not Call Number - The lead is on a Do Not Call list, or asked to not be called.
- Not Interested - lead was not interested coverage
- Winback - previous customer
Setting up Actions, Milestones, and Statuses:

- Navigate to Administration > Quick Action (Under the "History Settings" heading.)
- Click +Add Quick Action to create a new Action, or the edit pencil to edit an existing Action
- Click Save
Customizing Statuses
- Navigate to Administration > Dispositions (Under the "History Settings" heading.)
- Click +Add New Status to create a new Status, or l to edit an existing Status
- Click Save
Adding new Milestones
- Navigate to Administration > Dispositions (Under the "History Settings" heading.)
- Click +Add New Milestone
- Enter a new Milestone
- Click Save New Record
Reordering Milestones
- Navigate to Administration > Dispositions (Under the "History Settings" heading.)
- A window will appear and you can drag and drop the Milestones in the desired order.
Linking Milestones and Statuses:
Milestones and Statuses can be linked to ensure that leads are being updated with the proper combinations every time. Administrators have the ability to allow and restrict certain Statuses based on the lead's current Milestone.
- Go to Administration > Dispositions. Here you will see your account's Milestones listed on the left, and Statuses listed on the right.
- Under each Milestone, there is a link icon to show the linked Statuses. If nothing is linked yet, it will say "All statuses". If Statuses are already linked, they will be listed here. To edit the Statuses that are available for a Milestone, click next to "All statuses" or the linked Statuses.
- In the popup window, select the Statuses that should be associated with the selected Milestone, and click "Update Statuses".
- The links in the Statuses section on the right will update automatically based on which Milestone(s) they are linked to. This is a read only view. All edits are done within the Milestones section.
Once dispositions are linked, the changes will be reflected when updating leads' history. Based on the Milestone chosen in the drop down, only the linked Statuses will be available.
If a lead previously had a disposition combination that is now invalid based on your new settings, you will not be able to save a new history note until a correct combination is selected from the Milestone and Status drop downs. You can see all leads that have invalid combinations by navigating to Leads > Dashboard. In the Dispositions section, all invalid combinations are highlighted in red. You can click on the number to open a list of all leads with that combination.
Examples of Milestone and Status Combinations:
No attempts have been made to contact this lead Via Email or Phone.
Milestone: No Milestone Status: New
The phone number does not disconnect or the line is dead.
Milestone: No Milestone Status: Bad Phone Number
The lead has been called, but you did not get a live answer.
Milestone: No Milestone Status: Attempted Contact
You call the lead and get a live answer. They don't have time for a meeting, but the lead seems still interested.
Milestone: Contacted Status: Follow up
You call a lead and get a live answer. An appointment is set up to meet and discuss a custom quote -or- the lead responds to an email and wants to set up a meeting.
Milestone: Contacted Status: Hot
You provide a serious quote to the lead.
Milestone: Quoted Status: Hot
You provide a serious quote, but the lead seems hesitant or is not ready to purchase.
Milestone: Quoted Status: Follow up
You provide a quote. The lead does not qualify for coverage or your coverage was too expensive.
Milestone:Quoted Status: Requote
Lead has purchased a policy.
Milestone: Sold Status: Customer
